During this initial call, our clients tell us what they need. Some are only looking for hotel reservations, while others want a more complete and curated travel experience.

To make it easier to understand how we work, let’s walk through a simple example: a weekend trip to Amsterdam.

Living in Europe offers a big advantage — many destinations are just a short trip away. Whether you travel by car, train, or plane, a weekend getaway is always within reach. In this example, we have a couple — two adults — who want to travel from Munich (MUC) to Amsterdam (AMS). They plan to leave on a Friday afternoon after work and return on Sunday.

With this information, we already have the essentials: destination, travel dates, and number of passengers. That’s enough to start planning.

From here, we move into the details — and this is where the real value of travel planning comes in. One of the first questions we ask is: what time would you like to return on Sunday? If the couple wants to enjoy a full day in Amsterdam and take a late evening flight, we need to consider something important: hotel check-out. 🏨







Most hotels require check-out between 11:00 and 12:00. So what are the options? They can either keep the room and pay for an extra night, checking out on Monday even if they leave on Sunday, or they can look for a place to store their luggage during the day. These are small details, but they make a big difference in how comfortable and relaxed the trip feels.

We also talk about experiences. What would they like to do in Amsterdam?

🎟️ Some clients already have activities in mind, while others prefer suggestions. Based on their preferences, we can recommend experiences and share curated links so they can book directly if they wish.

Sometimes clients already have a hotel in mind. If that hotel is not available, we always provide at least two alternatives in the same area, with a similar category and confirmed availability. This way, we maintain quality while offering flexibility.

Because we focus on every detail, we can also assist with additional services such as airport parking at Munich Airport (MUC), helping to make the entire journey smoother from start to finish. 🚗

Last but not least, we always discuss travel insurance. 🛡️ We strongly recommend having travel insurance in place, especially for situations that are unexpected and beyond anyone’s control. However, the final decision always remains with the client.

Before confirming any booking, we provide a document with all the final details of the trip. We kindly ask our clients to review everything carefully — including travel dates, services, and personal information — to ensure everything is correct.

It is also important to keep in mind that prices are not guaranteed until full payment has been completed. As we have seen in recent news, airlines may adjust prices due to factors such as fuel surcharges. These changes can happen quickly and are outside of our control.

Once everything is confirmed, we proceed with the reservations, and in our model, the client pays directly to the service provider. This ensures transparency and security throughout the process.

Planning a trip may seem simple at first, but even a short weekend getaway involves multiple decisions that can impact the overall experience. Our role is to guide you through those decisions, anticipate potential challenges, and make sure everything runs as smoothly as possible. ✨
